Registration Before a child attends camp, a complete registration form including copies of the child's up-to-date immunization records, a doctor's letter of good health and a birth certificate.
Cancellations If a cancellation is received at least 48 hours in advance AND staff is able to fill the cancelled space, a refund of the daily fee, minus a $5.00 processing charge, will be given.
Sick Policy If a child is sick, please leave a message on our voicemail by 7:30am. Payment is refundable with a doctor's notice. If a child becomes sick during the day, staff will contact the parent to arrange for pick-up.
Passes Five and Ten-Day passes are non-transferable and non-refundable. No refunds are given for unused punch card days nor do they carry over to the following year. Staff will remind you when your punch card is nearly complete. Camp Vail reserves the right to refuse admittance if an account falls into arrears.
Camper's Activities All activities are filled on a first come basis and have enrollment limits.
Release of Children Children must be signed in and out of camp. Either accompany your child to the registration desk or complete the appropriate section on the registration form that allows your child to sign himself/herself in and out. Campers are released only to the persons noted on the registration form and ID will be requested. If someone else is picking up your child, please notify camp in writing.
Late Fee Camp Vail charges a late fees of $1.00 per minute beginning at 5:31. All late fees will be paid immediately to the counselor who has remained with the child.
What to bring to Camp

Please send the following items with your camper to keep them happy and prepared for the day: lunch, beverage, sunscreen, hat, jacket, comfortable shoes, rain gear, water bottle and a backpack to carry everything. Please label all belongings accordingly. On Mountain Day, please take extra care to dress campers appropriately from head to toe.

Extra money is never needed at Camp Vail, so please DO NOT send money with your child.

Discipline Initial disciplinary issues are handled by removing the child from the activity, giving an opportunity to think and reflect, and providing a logical consequence if necessary. If a problem continues, the parent is notified by phone. If the problem persists, a conference is set up with the parent to discuss the standard of behavior required for camp participation. Camp Vail reserves the right to suspend or expel a child if the discipline problem warrants it or if a child is a danger to himself/herself, other children or staff.
Medication If your child has medication needs while attending Camp Vail, please call us for procedures recommended by the State of Colorado at (970) 479-2290. Please do not send any medication for your child to carry in his/her backpack during the camp day.
Accessibility Camp Vail follows the guidelines set by the Americans with Disabilities Act. We do, however, appreciate advance notification if special arrangements are necessary. Please call Camp Vail at least two weeks prior to your child's first day to discuss appropriate accommodations.
License Camp Vail is licensed by the Colorado Department of Social Services.
Child Protection Camp Vail is required by section 19-10-101, et seq. of Colorado Revised Statutes to report any suspected or observed child abuse or neglect to the proper authorities. A copy of the above statute is available upon request.
Snack Camp Vail provides a small snack and drink for each camper every afternoon.
